We know that Terms and Conditions aren’t exactly the most exciting thing to read, but they’re an important part of making sure everyone is on the same page before we head off on our adventure.

​

We’ve tried to make these as clear, straightforward and easy to read as possible, without burying you in unnecessary jargon. Please take a few minutes to read through them so you know what to expect and where you stand.

Once the boring stuff is out of the way, we can get back to the exciting part — exploring the incredible trails of British Columbia together!

 

​​1. Contract and Agreement

These Terms and Conditions form the agreement between O40BW Pty Ltd (“O40BW”, “we”, “us” or “our”) and each person who books or participates in the Over 40s Bushwalking British Columbia Tour 2026 (“participant”, “you” or “your”).

By booking the tour and paying the required deposit, you confirm that you have read, understood and agreed to these Terms and Conditions.

2. Bookings and Payments

2.1 Deposit

A non-refundable deposit of AUD $500 per person is required at the time of booking to secure your place on the tour.

2.2 Final Payment

The remaining balance must be paid at least 90 days before the tour departure date.

Bookings made within 90 days of departure must be paid in full at the time of booking.

2.3 Payment Methods

Payments may be made by bank transfer, credit card (additional fees may apply) or another payment method approved by O40BW.

3. Cancellations by Participants

All cancellations must be submitted in writing by email or post. The following cancellation fees apply:

• More than 30 days before departure: 50% of the total tour price.

• Within 30 days of departure: 100% of the total tour price. No refund will be provided.

The initial $500 deposit is non-refundable.

No refunds will be provided for unused services or if a participant fails to join the tour, leaves early or is removed from the tour after it has commenced, subject to any rights you may have under applicable law.

4. Cancellations or Changes by O40BW

O40BW reserves the right to cancel, postpone or make reasonable changes to the tour before departure due to insufficient participant numbers, circumstances beyond our reasonable control or other unforeseen events. These may include natural disasters, political instability, pandemics and transport disruptions.

If O40BW cancels the tour, participants will be offered either:

• The option to transfer payments to an alternative departure; or

• A refund of payments made, subject to any applicable legal requirements and any permitted deductions for unrecoverable third-party costs.

O40BW is not responsible for additional expenses arising from a cancellation or change, such as flights, visas or travel insurance, except where required by law.

5. Tour Pricing

All prices are quoted in Australian dollars (AUD) and are based on the exchange rates, fees, tariffs and operating costs applicable at the time of pricing.

Where permitted by law, O40BW reserves the right to adjust tour prices if there are significant changes to exchange rates, taxes, park fees or supplier costs. Any applicable price changes will be communicated to participants.

6. Fitness, Health and Participant Responsibilities

This is an active hiking adventure that requires a reasonable level of fitness, mobility and endurance. Participants are responsible for ensuring they are physically capable of completing the walks and activities described in the itinerary.

To help ensure a safe and enjoyable experience for everyone, participants must:

• Disclose any relevant medical conditions, injuries or dietary requirements before departure.

• Follow the reasonable instructions of tour guides and leaders, particularly those relating to safety and group wellbeing.

• Bring suitable clothing, footwear and equipment for the planned activities and expected conditions.

• Act responsibly and consider the safety and wellbeing of other participants.

O40BW and its guides reserve the right to restrict or refuse participation where a person is considered unable to participate safely or continue with a particular activity.

Failure to follow safety instructions or these Terms and Conditions may result in a participant being removed from an activity or the tour without a refund, subject to applicable law.

7. Travel Insurance

Comprehensive travel insurance is compulsory for all participants. Your policy must provide appropriate cover for:

• Trip cancellation and curtailment.

• Medical expenses, including emergency treatment and evacuation.

• Baggage and personal belongings.

• Adventure activities included in the tour, such as hiking and camping where applicable.
